- If your participant resigns or is terminated
- If your participant’s hours get reduced

Submitting the First Paystub
As part of the programme, we expect you to submit your Participant’s First Paystub with the first month of the placement.
Note that the First Paystub must include the start date (as found in the Employer Agreement) as a pay date.
General Claims Information
As part of our on going due diligence to ensure funding security and accuracy, please note that failure to provide any documents requested may result in withholding of funds.
Please have your Employer Agreement (EA) on hand prior to completing the claim forms as you will need to reference it.
You will need to submit supporting documents as proof of payment such as:
-Paystubs
-Signed Participant Wage Confirmation Letter
Your claim will be reviewed by the UNA-Canada team, which may result in varied amounts.
If you are unsure of what is requested, please refer to the Definitions, or consult your STIP representative.
Midterm Claim
Your midterm claim is due 2 weeks after the midterm date.
Your Midterm Payment Period is the start date as indicated in the EA to the end date of the pay period that is the closest to the midterm date.
- For example, if your organization pays on a bimonthly basis and your midterm date is July 3rd, your midterm pay period will end on June 30th. Alternatively, if the midterm date falls on July 10th, the midterm pay period will end on July 15th.
We require the following documents to process the subsidy for the midterm claim:

- Upload using the secure link provided
- Participant’s First Paystub (click link to upload) – if not already uploaded
- First paystub should match the start date on the employer agreement
- If the start date is July 04 on the agreement, the first paystub should include July 04 as a pay date
- First paystub should match the start date on the employer agreement
- Midterm Wage Confirmation Letter (click link to upload) signed by your participant.
- Start date must be the starting date as listed in your Employer Agreement
- End date will be the midterm date, as found in your email.

Final Claim
Your final claim is due 2 weeks after the placement end date as indicated in the EA. If your Participant’s placement ended early, please submit your claim within the two weeks after your Participant’s last day.
Your Placement Dates should match the dates in the EA, unless the placement ended early. If your Participant’s placement ended early, please indicate the last day they work as the end date.
We require the following documents for the final claim:

- Paystub must include end date (as listed in Employer Agreement) as a pay date
- If the placement ends before the end of the your fiscal year
- Paystub should include a total year to date (YTD) amount of the entire placement

- Start date must be the start date as listed on your Employer Agreement
- End date must be the end date as listed on your Employer Agreement

If your placement ends in 2026, you must submit the following additional paystubs
- Participant’s End of Year (2025) YTD Paystub (click link to upload)
- Participant’s End of Year (2026) YTD Paystub (click link to upload)
- If the Placement ends in 2026, please provide us with the last paystub from your 2025 fiscal year (YTD totals) as well as the paystub from the 2026 up to and including the last date of placement according to your Employer Agreement. These paystubs should clearly indicate the total accumulated YTD amounts for 2025 and 2026.
Final Requirements
As per the Employer Agreement, all employers and participants are require to fill out a mandatory exit survey upon completion of their STIP internship. This includes early terminations.
These mandatory surveys are required of us by our funder, Natural Resources Canada.
Subsidy may be withheld until confirmation of successful submission of the surveys below

You must also ensure your Participant submits all their final requirements, such as:
- Participant Exit Survey
- Testimonial
- Photo of them at work. Note, selfies are only acceptable if their work is in the background (not a selfie)
